Department of Foreign Affairs and Trade – Finance Assistant

About the Department of Foreign Affairs and Trade (DFAT) :

  • The role of the Department of Foreign Affairs and Trade (DFAT) is to advance the interests of Australia and Australians internationally. This involves strengthening Australia’s security, enhancing Australia’s prosperity, delivering an effective and high-quality development program and helping Australian travellers and Australians overseas.
  • The department provides foreign, trade and development policy advice to the Australian Government. DFAT also works with other Australian government agencies to drive coordination of Australia’s pursuit of global, regional and bilateral interests.

About the position :

  • Under direction of the Deputy Manager – Financial Services, the Finance Officer processes and reviews payments, calculates employee entitlements and organises staff travel.

The key responsibilities of the position include, but are not limited to:

  • Provide day to day financial services in accordance with appropriate guidelines and regulations.
  • Assist with the calculation, processing, and management of Accounts Payable and Accounts Receivable in accordance with departmental guidelines and legislative requirements.
  • Respond to internal and external queries on accounts issues, and provide accurate, detailed monthly financial management reporting and draft replies and routine correspondence.
  • Create and maintain Vendor Master records and Customer Master records in the SAP system.
  • Manage project/visit’s financial requirements as directed.
  • Provide assistance and advice for journal corrections, purchase orders and administrative support services, including understanding, responding to and resolving enquiries on a range of finance or general administrative services.
  • Assist with certification of DFAT staff’s travel and liaison with the relevant travel services provider.
  • Perform other duties and back-up as required.

Qualifications/Experience:

  • A university degree in a relevant field is desirable.
  • Demonstrated administration experience including contracting, financial management, monitoring, and reporting.
  • Sound administrative skills and experience including an ability to work under pressure and meet deadlines.
  • Well-developed communication skills both in written and spoken English and Indonesian.
  • Demonstrated initiative and the ability to make sound decisions with minimal supervision.
  • Sound knowledge of Microsoft Office, including Excel.
